The Payroll Specialist is responsible for end-to-end payroll processing across four related companies, ensuring accurate and timely semi-monthly payroll for approximately 110 salaried employees. This role requires a highly detail-oriented, process-driven professional who can manage complex compensation structures, including expense reimbursements and commissions, with a high degree of accuracy and accountability. This position plays a critical role in maintaining payroll integrity, auditing data for discrepancies, and ensuring compliance with applicable payroll regulations.


Essential Duties and Responsibilities
The essential functions include, but are not limited to, the following:
  • This role is an in-office position at our Loveland, CO office
  • Process semi-monthly payroll for multiple entities, ensuring accuracy, timeliness, and compliance
  • Compile and review payroll data, including salaries, commissions, bonuses, expense reimbursements, garnishments, benefits deductions, and 401(k) contributions
  • Review and validate commission reports pulled from internal systems to ensure alignment with payroll calculations
  • Audit payroll data for accuracy, identify discrepancies, and resolve issues before final processing
  • Manage and track expense reimbursements, ensuring proper documentation and inclusion in payroll
  • Maintain payroll records and ensure data integrity across systems
  • Coordinate with internal stakeholders to obtain and verify payroll-related information
  • Ensure compliance with federal, state, and local payroll tax laws and reporting requirements
  • Support payroll-related reporting and assist with audits as needed
  • Identify opportunities to improve payroll processes, controls, and efficiencies
  • Maintain strict confidentiality of employees and company information
  • Perform other duties as assigned
  • Enter payroll general ledger, HSA transactions, and Paychex EFTs in QuickBooks
  • Allocating revenue to correct state income accounts
 
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • 3+ years of payroll processing experience, preferably in a multi-entity environment
  • Strong understanding of payroll practices, wage and hour regulations, and payroll tax compliance
  • Experience processing payroll with variable compensation structures (commissions, reimbursements, bonuses)
  • Exceptional attention to detail with a high degree of accuracy and accountability
  • Strong analytical and problem-solving skills with the ability to identify and resolve discrepancies independently
  • Highly organized with the ability to manage multiple priorities and meet strict deadlines
  • Advanced proficiency in Microsoft Excel and payroll systems
  • Ability to work independently with minimal supervision
  • Strong written and verbal communication skills
  • High level of discretion and confidentiality
     
Preferred Qualifications
  • Experience with multi-state payroll processing
  • Paychex, QuickBooks, and Excel Experience
     
Base Pay & Benefits
  • Salary range: $60,000 – $70,000, commensurate with experience
  • Company-paid employee health insurance, including long-term disability, dental, and life insurance - 100% of employee premium covered

Working Environment
  • This role primarily involves working at a desk and operating a computer for extended periods of time.
  • The position requires frequent use of hands and fingers for typing, data entry, and use of standard office equipment such as a computer, phone, and printer.
  • The employee may occasionally move about to the office to access files, equipment, or collaborate with team members. Periodic lifting or moving of items up to 15–25 pounds, such as files or office supplies, may be required.
